Are you looking to plan a corporate event during these unprecedented times? Do you wonder what is required of your event to meet COVID regulations? If so, then you need to learn all you can about event planning during COVID-19.
Doing so can help you plan an event that’s fun, safe, and comfortable for all that attend. It isn’t farfetched to say that this may be the first event some of your guests attend since the coronavirus first occurred.
See below for an in-depth guide on how to set up your event venue to meet all the rules and regulations for an event during COVID.
1. Clean and Disinfect Correctly
To keep the party as safe as possible for everyone that’s attending, you need to clean and disinfect the area before, during, and after the event.
Think about any surface that would be touched by most attendees and prioritize cleaning them throughout the event. This includes things such as bars, drinking fountains, door handles, railings, tables, ATMs, etc.
In fact, try to clean the surfaces between uses or as consistently as possible. You might consider hiring a cleaning service and strategize a consistent routine for them to follow throughout the duration of your event.
The CDC requires that you use EPA-approved disinfectant. These have been proven to ward off the spread of COVID-19 and should be purchased in plenty of time for the event.
If there is a part of the event that you don’t feel you can continually clean during the event, then consider shutting it down. Be sure to handle all trash bags and trash cans with disposable gloves so as not to touch anything that’s been in contact with others.
If you have any questions on properly disinfecting for your event, be sure to contact the Environmental Protection Agency (EPA) for guidance.
2. Limit Contact
To make everyone feel as welcome and as safe as possible, you need to provide visible evidence that you’re trying to limit contact.
Have signs throughout your event reminding everyone to stay 6 feet apart (as much as possible). Be sure to find a beautiful event location that offers ample room for you and the number of guests that you’re expecting.
Think of unique ways to limit the contact among your guests. For example, instead of serving a buffet-style meal, hire a caterer that can separate the meals by bags and hand them out one by one.
If you’re planning to place the separate bags of food somewhere your guests can grab them, then consider setting them on several smaller tables, rather than one long table.
Try to reduce the number of times that people will be waiting in line at your event. If there will be lines, then provide enough space for people to stand 6 feet apart.
If you’re planning a wedding, consider the headcount and space out the chairs appropriately. You can arrange assigned seating to make sure the families all have chairs together but separated from other groups.
3. Consider Outdoor Spaces
The CDC highly recommends that, if you’re going to have an event, it’s far safer for the event to be held outside. Fortunately, that’s the opportunity for you to increase the beauty of your event by holding it in an outdoor space.
It doesn’t get much better than the Church Ranch Event Center, which hosts premium outdoor spaces in the Denver area, one of the most beautiful places on earth!
Whether you’re hosting a corporate event, wedding, reception, party, or celebration of life, we’re happy to help you meet all of the specific CDC regulations.
You and all of your guests will be able to breathe in the fresh air while admiring the beauty of nature all around you. It’s one of the most pristine corporate event venues in Colorado, which will make for a memorable event for you and your entire staff.
4. Have a Firm Headcount
Having a firm headcount has never been more important. If you’re going to plan your event and keep it as safe as possible, you need to know how many people to accommodate.
The headcount also plays a factor in the size of the event space that you rent. For example, if you have 100 people attending, then you’ll want to create ample space for everyone to walk around comfortably.
This can also help you think of things like purchasing temporary facemasks in case a few people (inevitably) forget their masks at home. It shows your guests that you’ve gone the extra mile to protect them.
5. Calculate Appropriate Social Distance Space
As the Colorado Department of Public Health has pointed out, many organizations are incorrectly calculating the space they need to help everyone keep a social distance.
When planning, most people think that calculating for a 6-foot grid will suffice. However, that wouldn’t give them space to move around without sabotaging the appropriate social distance from each other.
Instead, you need to calculate a 12-foot grid for each of your guests. So, if you’re planning on inviting 100 people, you’d need to rent a space with 16,000 square feet (give or take) to keep everyone safe.
